Team cost calculator: a CRM, a help desk and a phone system against ContactRoll

Choose the three tools your team would buy, and how many people need each. The calculator adds up their published prices for a team of 10 to 25, beside ContactRoll for everyone.

The calculator

This tool works out its answer in your browser: what you type or open stays on your computer, and the page sets no cookie.

This tool needs JavaScript, which is off in your browser. Everything else on the page reads without it.

How the numbers are worked out

Each tool is its published price a user a month, paid yearly or monthly as you choose, times the people you say need it, or its minimum number of seats if that is more. ContactRoll is its price a user times everyone on the team, because each member is one seat. HubSpot Sales Hub Professional adds a required one-time onboarding fee of $1,500, shown beside the monthly total. Salesforce Pro Suite is sold paid yearly only, so its yearly price is used for both. Aircall sells at least 3 licenses. RingCentral’s prices are the ones its page shows for 6 to 100 users. Help Scout Standard takes up to 25 users.

Prices change: check each vendor’s own page before deciding. Each name is a trademark of its owner, used only to say which product is priced.

Questions

Where do the prices come from?

From each vendor’s own pricing page, read on October 28, 2026, in US dollars a user a month before tax. The sources are listed under the calculator with the address of each page.

Why does ContactRoll charge everybody, when the three tools can be bought for fewer people each?

ContactRoll is one product, and each member of the team is one seat in it, whichever parts they use. The calculator lets you buy each separate tool for only the people who need it, so the comparison is the cheapest way to buy the three, not the dearest.

Are calls included?

The phone systems listed include calls within their plans, as each page describes. ContactRoll places calls through your own Twilio account, which Twilio bills by the minute; the calling cost calculator works out that bill for your minutes.

What does the calculator leave out?

Taxes, add-ons, call minutes beyond a plan’s allowance, phone numbers sold separately, and any discount a vendor offers for a limited time. One-time fees a vendor’s page names are shown beside the monthly total.
