Invite your team and choose their roles

Every member of your organization holds one role, and the role decides what they may do in ContactRoll. Owners and Administrators invite members and give them their roles.

Invite someone

  • Open Team.
  • Type their address in Email address.
  • Choose a role in Role. It starts at Agent and offers the roles within your own.
  • Press Send invite. The page says "Invitation emailed to" and the address.

The invitation email tells them who invited them and with which role. Its link works for their address, until the date it expires. When they accept, they join with that role.

Under Pending invites, each invitation shows its address, its role and when it expires, with copy link, resend and Revoke. To change the role on an invitation, revoke it and send a new one.

On the Free plan, an organization has up to 3 members, and an invitation that is still open counts as one of them. At 3, ContactRoll says so where you invite. Remove a member or cancel an invitation to make room, or move to a paid plan on the Billing page.

On Standard and Plus, each member is a seat on your plan. A member who accepts an invitation adds a seat, charged straight away for the rest of the period. Removing a member takes the seat off from your next renewal, with no credit for the rest of the period.

Requests to join

Someone who signs up with an address at a domain one of your members uses (never a free-mail domain such as gmail.com) is offered Ask to join. Their request is listed under Requests to join on the Team page, and the people who can invite are given a task. Press Approve as an Agent to let them in, or Decline. A switch under Requests to join turns the offer off for your organization.

The nine ready-made roles

ContactRoll comes with nine roles, the same in every organization. Press a role's name on the Roles page to see everything it may do, area by area.

  • Owner: everything, including billing, closing the account and transferring ownership. There is always at least one.
  • Administrator: everything except closing the account and transferring ownership.
  • Supervisor: everything an Agent does, and more: who listened to a recording, downloading and deleting the recordings of calls that rang a call group they are in, and approving refunds up to the product's cap for agents.
  • Agent: works cases, contacts, companies, deals, tasks and calls; drafts marketing; writes articles; listens to recordings.
  • Sales: contacts, companies, deals, tasks and calls. Sees cases.
  • Marketer: campaigns, emails, sequences, audiences, forms and the media library. Drafts and submits work for approval.
  • Billing: the billing panel, refunds and cancellations within the policy, and plan prices. Reads contacts and cases.
  • Knowledge editor: writes, validates and archives articles. Reads cases.
  • Read-only: sees records and reports.

Change a member's role

Under Members on the Team page, choose a new role in that member's Role column. You can give any role within your own, and you can lower your own role. When it is saved the page says, for example, "sam@example.com is Supervisor now." The new role applies from the member's very next action.

Only an Owner gives the Owner role. To make someone an Owner, choose Owner in their Role after they join, or use Hand ownership to. Every organization keeps at least one Owner.

Remove a member

Press Remove at the end of their row. Their access ends at once. The contacts and companies they owned then belong to nobody, and their cases are unassigned, ready for someone else to take.

Keep track of changes

Who changed whose role, on the Team page, lists who joined and with which role, who left, and every change of role, with who made it.

Roles of your own

On the Plus plan, you can also make roles of your own. Each starts as a copy of a role you already have, gets its own name and a sentence saying what it is for, and is then changed permission by permission. Press New role on the Roles page to start one.

To choose which records each role reaches, see the article on choosing who sees which records.

Start free, no card

Every new organization starts with a 14-day trial of Plus, with no card. When it ends, a team of 3 people or fewer moves to Free by itself, and a larger team chooses Standard or Plus. There is no second trial.
