Branches, decisions and schedules in flows

A flow can choose between more than two paths, wait for a date or a change, ask a person or a role before it goes on, and run on a schedule. Open a flow in Settings, Flows to use any of them. Flows are on the Plus plan.

Group conditions

A flow's conditions must all hold. To accept one of several, choose Add an “any of” group. Inside it, choose Or all of these… to add a set of conditions that must hold together — for example, the priority is high and the status is new, or the priority is urgent. Groups go one level deep.

Choose between paths

An If… otherwise… step asks its condition when the run reaches it. Choose Add an else if to ask another condition when the first doesn't hold, up to three times. The first that holds is the path taken; if none does, Otherwise is.

Wait for a date or a change

  • Wait until a date waits for a date on the record — a deal's expected close, a task's due date — or a day you choose, at a time of day in your organization's time zone. If the date has passed, the flow goes on at once.
  • Wait for a change waits until one of the record's fields changes, for at most the hours you set. ContactRoll checks every 15 minutes. If nothing changes in time, the flow goes on or stops, as you chose.

Ask a person to decide

Ask a person to decide gives the record's owner, or a member you choose, a task with two to four choices. Each choice has its own actions. The question also appears at the top of their My tasks page, where one press answers it, and the flow goes on down that path within a minute. If nobody answers in the business hours you set, the flow takes the "If nobody chooses in time" path.

Ask a role to approve

Ask a role to approve asks every member with the role you choose who can see the record. Anyone of them can approve or decline on their My tasks page. Declined, or not answered in time, takes the other path. If nobody with that role can see the record, the flow says so and takes that path at once.

Run a flow on a schedule

Choose On a schedule as what happens: every day, a day of the week or a day of the month, at a quarter of an hour, in your organization's time zone. Each time, the flow acts on every open case, person, open deal, company or record of one of your own kinds whose conditions hold — 200 at most, newest first.

When a related record changes

A deal's company changes and A person's company changes start a flow on each open deal, or each person, of a company whose health or owner changed — 200 at most.

Versions and templates

Every save is a version. A flow's page lists them; choose Put version 2 back to save an older version again as the newest. Like any save, it switches the flow off until you test it. A run already under way finishes on the version it started on.

Choose Save as a template to keep a flow for your organization. Templates appear beside the starter flows under Start from the library, where anyone who writes flows can add one, off.

Every new organization starts with a 14-day trial of Plus, with no card. When it ends, a team of 3 people or fewer moves to Free by itself, and a larger team chooses Standard or Plus. There is no second trial.
