Keep track of tasks
A task is something somebody on your team needs to do, by a date: call a customer back, send a quote, check on a case. Each task has a title, a due date, an optional time, an owner, and the record it is about.
Add a task
Tasks are added on the record they are about: a case, a contact, a company or a deal.
- Open the record and find its Tasks panel.
- Under Add a task, write what needs doing.
- Choose the Due date, and a Time (optional) if it is due at a particular hour.
- Choose the Owner, then press Add task.
A task with no time is due by the end of its day. A task with a time becomes overdue once that time passes.
Some tasks are made for you. For example, a call whose outcome is Callback requested offers Add task: Call back, and ContactRoll gives a task to the right people when something needs their attention, such as marketing email being paused.
My tasks
My tasks, at https://app.contactroll.com/tasks, lists every task you own in three groups:
- Overdue
- Today
- Upcoming
Each row names the record the task is about, links to it, and shows when it is due. Tick Done to mark a task complete. To remove a task you made or own, press Remove on its row and confirm.
Your team's time zone
"Today" and "overdue" follow your organization's time zone, so a task due on the 6th is due on the 6th where your team works. The time zone is set on the Team page under Time zone, by an Owner, an Administrator, or a role allowed to change the organization's settings. My tasks says which time zone its due dates are in.
The daily task email
Once a day, ContactRoll emails each person a digest of the tasks that are overdue or due today, across every organization they belong to. It arrives at 7:00 in the morning or later in the time zone of their active organization, and only on days when something is on the list. ContactRoll checks for due digests every three hours, and sends each person at most one a day.
The digest goes to people who keep Email me when a customer writes in switched on, on their Settings page at https://app.contactroll.com/settings. The same switch covers a flow's notices and marketing failure notices.
Who can do what
Owners, Administrators, Supervisors, Agents and Sales add tasks and change them, and remove the tasks they made or own. Owners and Administrators can remove anyone's task. Your organization's own roles can be set up differently on the Roles page.
