Pipedrive alternative

A Pipedrive alternative for small teams

Pipedrive is a CRM for selling. A team that also answers support email and takes calls needs a help desk and a phone system beside it. ContactRoll keeps the deals, the support cases and the calls on the same customer record.

Pipedrive and ContactRoll, need by need

Pipedrive sells a sales CRM built around a deals pipeline, in four plans priced per seat, with marketing email (Campaigns) and lead capture as add-ons. Calling goes through apps from its marketplace. [1]

What a small team needsPipedriveContactRoll
Contacts, companies and a deals pipelineYes, on every plan: people, organizations, customizable pipelines and deals. [1]Every plan, Free included; Free has one pipeline.
Support email as cases in a shared queueNo help desk in Pipedrive’s plans or add-ons. Two-way email sync from Growth. [1]Every plan, Free included: each email opens a case anyone can take. Free has one support address of your own.
Knowledge articles and a public help centerNot in Pipedrive’s plans or add-ons. [1]Every plan, Free included.
Calls in the browser, with recording and transferThrough marketplace apps; in Pipedrive’s words, it “doesn’t have a built-in calling integration”. [2]Every plan, Free included, through your own Twilio account: call groups, voicemail, recording, hold and transfer.
A phone menu for callersDepends on the calling app chosen. [2]Plus, from ready-made templates, with owner-first ringing and warm transfer.
Marketing email to about 2,000 peopleThe Campaigns add-on, priced per subscriber. [1]Every plan: 500 marketing contacts and 500 emails a month on Free, 2,000 marketing contacts on Standard, 10,000 on Plus.
AutomationGrowth and up: 50 to 250 automations a company. [1]Plus: automation flows. Standard and Plus: sequences started by what a customer does.
Roles and who sees whatCustom permission sets on Premium and Ultimate. [1]Every plan: nine ready-made roles and scopes. Plus: roles of your own.
An API and webhooksAPI and webhooks on every plan. [1]Plus.

What it costs a team of five, and of ten

Pipedrive Lite for the CRM, Campaigns for marketing email to 2,000 people, Freshdesk Growth for tickets and a knowledge base, and Freshcaller Pro — which lists a Pipedrive integration — for calling with a phone menu. List prices, per month, paid yearly, in US dollars, before tax.

What the team buys5 people10 people
Pipedrive Lite, $14 a seat [1]$70$140
Pipedrive Campaigns, 2,000 subscribers [1]$20$20
Freshdesk Growth, $19 an agent [3]$95$190
Freshcaller Pro, $39 an agent [4]$195$390
Pipedrive, about$380$740
ContactRoll Plus, $59 a person$295$590
ContactRoll Standard, $29 a person: the CRM, support cases, calling with call groups, recording and cold transfer, and marketing email to 2,000$145$290

Leaves out phone numbers, outgoing minutes, recording and taxes. Pipedrive Lite has no email sync or automations: Growth adds them for $25 more a seat ($125 for five, $250 for ten). ContactRoll’s calls are billed by Twilio to your own account, with no markup: for example, 2,000 minutes a month in the browser, half of them recorded, with one number, come to about $34 at Twilio’s published US rates (a call put on hold or transferred also pays Twilio’s conference minutes). Try your own numbers in the calling cost calculator.

For a team of 3 people or fewer, ContactRoll Free costs nothing: 1,000 contacts, one pipeline, one support address, calling through your own Twilio account, and 500 marketing emails a month (Free’s limits).

Where Pipedrive is strong

  • A focused sales CRM with a low seat price, and data import, export, an API and webhooks on every plan. [1]
  • A marketplace with 500+ integrations. [1]
  • AI features on every plan, such as call recording with summaries and transcripts from its meeting tools. [1]

Switching from Pipedrive

In Pipedrive, export leads, deals, organizations, people, products, activities and notes as an XLSX or CSV file. A deal export includes its linked organizations and people. You need export permission, and you export what you can see. [5]

Then import the file into ContactRoll as a CSV file (save it as CSV first if it came out in another format). Files exported from Pipedrive are matched as they come, including their company or account columns and their phone columns. ContactRoll shows, row by row, what the import would do before it writes anything, and people who unsubscribed stay unsubscribed.

Import your contacts from a CSV file walks through it, and the CSV contact cleaner merges repeated addresses first if your file has them.

Questions

Is ContactRoll a Pipedrive alternative?

For a small team that sells and also answers support email and takes calls, yes: ContactRoll has a deals pipeline, a shared queue of support cases and calls in the browser, on one record of each customer. For a team that only sells, Pipedrive’s CRM costs less per seat.

Can I bring my Pipedrive data to ContactRoll?

Yes. Export your people and organizations from Pipedrive as a CSV file and import it into ContactRoll: Pipedrive’s columns, including organization and phone columns, are matched as they come.
