Help · Your team and your account
Close your account
The Owner can close your organization's account on the Team page. Closing stops the account for everyone at once, gives you 30 days to change your mind, and then deletes everything, attached files included, within a further 30 days.
Before you close: export your data
Directly above Close this account on the Team page is Download everything, with the attached files under it. Download what you want to keep first. See "Export your data".
The export and the attached files stay available to the Owner and the Administrators after closing too, until the day the account is deleted.
Close the account
- Open the Team page, at https://app.contactroll.com/team.
- Scroll to Close this account. Read what it says will happen.
- Type your organization's name in the box, exactly as shown.
- Press Close this account. The button becomes available once the name matches.
Only the Owner sees Close this account.
If your organization pays for a plan, closing cancels it first, at once, with no refund for the rest of the period already paid. If our payment processor can't be reached just then, nothing is closed and the page says so; try again a little later.
What happens when you close
- Every screen goes empty at once, for every member. The queue, contacts, threads, internal notes and search show nothing.
- A banner at the top of the page says the organization is closed and the day everything will be deleted.
- Email sent to your support address after closing is turned away. If you reopen, the account comes back as it was, and those messages stay with their senders.
- The Owner and the Administrators can still use Download everything and download the attached files, from the banner.
Change your mind within 30 days
For 30 days after closing, the Owner can press Reopen this account on the banner. Everything comes back as it was, for every member.
Deletion
After the 30 days, everything in the organization is deleted within a further 30 days: every case, message, contact, internal note, and every file a customer attached. Once deleted, it is gone for good.
ContactRoll keeps one short note that a deletion happened, with dates and counts and nothing else.
Your members' own sign-ins belong to them, so a member who belongs to another organization carries on there.
Call recordings
If your organization recorded calls, the recordings live in your own Twilio account. Closing deletes what ContactRoll holds about them. The export names each recording, with when it was made, how long it is and Twilio's own name for it, so you can delete them in Twilio too.
An account closed after read-only
An organization that stays read-only for 30 days, because no plan was chosen or payments stopped, is closed in the same way. An organization on the Free plan is never closed this way, however long it is read-only: only its Owner closes it. The Owner can reopen it during the 30 days of grace; it is then read-only for another 30 days, so there is time to choose a plan and pay. See "Paying for ContactRoll".
